Underdog Academy ("we", "us", "our") operates the sales training platform at ai.underdogsales.com. This Privacy Policy explains how we collect, use, and protect your personal information when you use our platform.

Information We Collect

We collect the following types of information to provide and improve our services:

• Email address — collected during account creation for authentication and service communications.
• Name — provided in your profile for personalization and community features.
• Voice recordings — AI roleplay sessions are processed by Retell AI. Recordings are used for session scoring and feedback.
• AI coach conversations — your text conversations with the AI Sales Coach and your roleplay practice transcripts, analyses, and scores are stored to provide the coaching service.
• Uploaded call recordings — sales calls you choose to upload for AI analysis are stored, transcribed, and scored. By uploading a recording you confirm you have the right to share it, including any consent required from other call participants.
• Usage data — pages visited, features used, XP earned, lesson progress, and other platform interactions.

How We Use Your Information

Your information is used to:

• Provide and improve the Underdog Academy platform.
• Manage your account and personalize your experience.
• Power AI roleplay sessions and generate performance scores and feedback.
• Track your learning progress, XP, streaks, badges, and leaderboard position.
• Send service-related communications (account updates, important notices).

AI Coach Conversations & Quality Review

Your text conversations with the AI Sales Coach are private to your account. To improve the quality of the coach's answers, recent conversations may be reviewed by the coaching team in pseudonymized form only — your name, email, and account ID are removed, and contact details are redacted from the message text before review.

Roleplay practice sessions (transcripts, analyses, and scores) may be reviewed by the coaching team as part of the training service, so your coach can give you feedback on your practice calls. Every such administrative access to conversation data is recorded in an internal audit log.

Third-Party Services

We use the following third-party services to operate the platform. Each has its own privacy policy governing how they handle your data:

• Retell AI— voice-based AI roleplay sessions. Session recordings are stored per Retell AI's data retention policy.
• Supabase — database hosting and user authentication. Your account data is stored securely with row-level security policies.
• Vercel — application hosting and content delivery.
• Stripe — payment processing. We never store your card details ourselves.
• ElevenLabs — transcription of call recordings you upload for AI analysis.
• OpenRouter — routing of AI requests (coach answers, call scoring, and feedback generation) to large language model providers.
• Brevo — service and onboarding emails.
• Sentry — error monitoring, which may process technical data connected to your session.

Some of these providers process data in the United States or other countries outside the European Economic Area. Where they do, transfers are covered by the providers' standard contractual clauses or an equivalent recognized transfer mechanism.

Cookies

We use essential cookies for authentication and session management. These cookies are necessary for the platform to function and cannot be disabled. We do not use advertising or tracking cookies.

Data Retention

Your account data is retained for as long as your account is active. Voice recordings from AI roleplay sessions are retained per Retell AI's data retention policy. Coach conversations, uploaded call recordings, and their transcripts and analyses are retained while your account is active. If you delete your account, we will remove your personal data — including coach conversations and uploaded recordings — from our systems within 30 days. You can request data deletion at any time by contacting us.

Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate personal data.
• Request deletion of your personal data and account.
• Withdraw consent for optional data processing.
